Summary

Network admins can now build customisable email sequences, such as a signup welcome followed by emails after X days, plus an email when a trial ends. It all uses the existing System Emails editor; there's no new UI section.

1. Delayed system emails now actually wait

The editor already has Schedule? → Delay for days/hours, but the delay was ignored. Email_Manager::send_system_email() passed schedule to Sender::send_mail(), which doesn't read it, so delayed emails went out immediately. The registered wu_send_schedule_system_email callback also used a ($to, $subject, $template) signature that didn't match Sender::send_mail().

  • Delayed emails are queued as Action Scheduler jobs (wu_send_schedule_system_email, group wu_system_emails) with the email ID and a compact payload. The compact payload keeps event-specific fields as captured but stores the membership, customer, payment, site, domain and product by ID, which keeps it under Action Scheduler's 8,000-character argument limit. If an email would still be over the limit, it isn't queued and a mailer error is logged; otherwise Action Scheduler would drop it silently.
  • When a job is due, the email is reloaded, so it uses its current content and is skipped if it was deleted or deactivated. Every stored model's placeholders are rebuilt with current values, and the email is skipped if a referenced record no longer exists. The new wu_send_scheduled_system_email filter lets add-ons cancel a send.
  • Jobs queued in the old (to, subject, template) format are skipped with a warning; their recipients are never treated as an email ID.
  • Emails whose Active toggle is off are no longer sent.
  • One email with no targets no longer stops the other emails for the same event (return changed to continue).
  • The hour delay is now parsed safely. An empty or malformed HH:MM value used to raise an undefined-index warning.

2. Product targeting per email

New Products setting in the email editor: Send for all products / Only for the selected products / For all products except the selected ones. It matches the payload membership's current plan and add-ons. Delayed emails are checked again when due, so a customer who upgraded from a trial stops getting emails limited to the trial product. New filter: wu_system_email_applies_to_payload.

3. Checkout Completed can now trigger emails and webhooks

checkout_completed was registered "for webhooks and emails", but Signup_Metrics only stored it with wu_create_event(), so emails and webhooks assigned to it never fired. It's now dispatched with wu_do_event() and includes the payment, membership and customer fields plus plan_id, plan_slug, cart_type, gateway and is_free. The signup funnel statistics still count it by slug.

Unlike Payment Received, it doesn't fire for renewal payments, so it's the right trigger for signup sequences. Example: a welcome on Checkout Completed limited to the trial product, then the same event delayed by 7 and 14 days.

4. Trial / membership expiring event

The Days to Expire setting (Settings → Emails) existed but nothing used it. It now drives a new membership_expiring event. The event fires once for each trial (any membership with trialing status) or non-auto-renewing membership whose end date falls inside the window. 0 means "when it ends". The check is Cron::membership_expiring_check() on wu_membership_check, before the trial check moves ended trials out of trialing. A membership meta marker records the end date already notified, so the event fires once per term and re-arms on renewal.

  • Payload: membership + customer, plus expiring_is_trial, expiring_is_membership, expiring_will_renew, expiring_needs_action, expiring_end_date, expiring_date, expiring_days_left. The shared Cron::get_expiring_fields() builds these fields, and delayed expiring emails are skipped if the term changed in the meantime.
  • New default email membership_expiring_customer (views/emails/customer/membership-expiring.php) uses {{#key}}…{{/key}} blocks to tell trials that renew automatically apart from ones that need payment. Existing installs aren't changed automatically; admins add it through System Emails → Reset & Import.
  • New filters: wu_membership_expiring_days, wu_membership_expiring_check_query_params.

Also

  • Email::to_array() now lazy-loads target. Re-saving an email loaded from the database used to fail validation with "The Target field is required".

Verification

  • New tests/WP_Ultimo/Managers/Email_Sequence_Test.php (13 tests) covers:
    • immediate send;
    • a delayed email is queued (not sent), stores IDs instead of model fields, is due at +7 days, and is sent with current values;
    • oversized payloads are rejected and logged;
    • legacy-format jobs are ignored;
    • deactivated emails are skipped;
    • include/exclude product filters;
    • a delayed trial-only email is skipped after a plan change;
    • membership_expiring fires once (2 days left), not outside the window, and reports a trial ending today with 0 days;
    • a delayed expiring email is skipped after the term changes;
    • checkout_completed dispatches with model fields;
    • the default email is registered.
  • Related suites (Email, Email_Manager, Cron, Signup_Metrics, Dashboard_Statistics, Event_Manager, Sender, Email_Edit_Admin_Page) pass.
  • PHPCS and PHPStan pass on all changed files.

Notes for reviewers

  • Behaviour change: emails with a delay that were previously sent immediately will now actually wait.
  • Behaviour change: inactive emails are now honoured.
  • Behaviour change: emails or webhooks already assigned to Checkout Completed will start firing.
  • membership_expiring is recorded as an event on every install. It only sends email when an email is assigned to it.
  • Checkout Completed fires on wu_checkout_done. Gateways that return false from process_checkout() and finish asynchronously don't reach that hook, so this is unchanged for them.

Summary by CodeRabbit

  • New Features
    • System emails can target all products, selected products, or exclude selected products based on a customer’s current membership.
    • Added customer notifications for trials and memberships approaching their end date, with relevant renewal or payment instructions.
    • Expiration notifications can be configured to send within a chosen number of days before the end date, including on the end date.
    • Scheduled emails use current membership details and settings when sent, and can be skipped if they no longer apply.
    • Expiring membership notifications are sent once per expiration date.
    • Checkout completion events now cover new signups, upgrades, and downgrades separately from renewal payments.

📝 Walkthrough

This change adds product filters to system emails, introduces checks and event data for expiring memberships, and updates email processing to schedule or deliver messages using current email and membership data. It also registers a customer-facing expiration email and updates checkout-completion event data.

Changes: System Email Flows

Layer / File(s) Summary
Product targeting for system emails
inc/models/class-email.php, inc/admin-pages/class-email-edit-admin-page.php, tests/WP_Ultimo/Managers/Email_Sequence_Test.php
Email models store product filter modes and product IDs, resolve membership products, and apply include or exclude rules. The editor exposes these settings and saves selected products. Tests cover filter behavior and a queued email skipped after a plan change.
Membership expiration checks and event
inc/class-cron.php, inc/managers/class-event-manager.php, inc/managers/class-email-manager.php, tests/WP_Ultimo/Managers/Email_Sequence_Test.php, tests/WP_Ultimo/Managers/Event_Manager_Test.php
Cron checks eligible trials and non-renewing memberships against the configured window, records notice dates, and fires membership_expiring with membership and customer data. The event definition and expiration setting describe the event and notice window. Tests cover expiration-window checks, duplicate notices, changed term dates, and system event initiators.
Email scheduling and delivery
inc/managers/class-email-manager.php, inc/models/class-email.php, views/emails/customer/membership-expiring.php, tests/WP_Ultimo/Managers/Email_Sequence_Test.php
The manager queues email IDs with compacted payloads and refreshes current model data before delayed delivery. It registers the customer expiration email, whose template displays conditional expiration details. Tests cover immediate and delayed delivery, payload limits, legacy arguments, and changed email or membership state.
Checkout-completion event payload
inc/class-signup-metrics.php, tests/WP_Ultimo/Managers/Email_Sequence_Test.php
Checkout completion dispatches generated payment, membership, and customer fields with checkout details. The event description and sample payload include signup, upgrade, and downgrade details.

Merge Risk: 🟡 Moderate · up to a62f1

Sites with more than 100 eligible memberships may repeatedly process the same page, leaving later customers without expiration notices. Resolve or explicitly accept this risk before merging.

Security architecture risk: 🟡 Moderate · up to a62f1

The new delivery paths can expose customer information to disabled webhook destinations or former membership owners. These risks require existing integration configuration or an authorized ownership transfer; the change does not establish an unrestricted public endpoint.

Retained concerns

  • Medium · security · inferred: Checkout completion now dispatches customer, billing and membership data to webhook consumers instead of only recording a checkout summary. The existing sender selects matching persisted webhooks without checking activation, and the inspected query wrapper adds no active-only restriction. An inactive checkout webhook returned by this query can therefore receive customer data despite deactivation. The missing activation check predates this PR, but checkout completion newly exposes data through it. Exposure is conditional on a matching configured endpoint; arbitrary destination selection by a checkout customer was not established.
  • Medium · security · inferred: Delayed customer emails retain the event's customer ID while independently reloading current membership data. The supported membership-transfer flow changes ownership without rebinding or cancelling these jobs. If the former customer still exists, the email remains active and applicable, and its template includes membership fields, delivery can disclose the transferred membership's current information to the former owner. Missing-record, product and expiration-term checks do not enforce this ownership relationship. Compared with the base's event-time delivery path, durable delayed delivery and refreshed data introduce this stale-authority window. Transfer requires privileged authorization; an ordinary customer-controlled reassignment was not established.
Security review details

Security Blast Radius

  • inferred — A matching disabled webhook can receive successive checkout payloads, potentially affecting multiple customers rather than only the customer initiating one checkout. The former-owner email path is limited to queued messages for transferred memberships whose original customer remains resolvable and whose delivery checks still pass.

Security Findings and Attack Paths

  • inferred — The principal egress path is checkout completion to the event bus to a matching persisted webhook URL. Because activation is not enforced in the inspected sender, an operator-controlled or formerly trusted disabled destination can receive the expanded customer payload. No ability for an ordinary checkout user to supply that destination was established.
  • inferred — A customer can remain the captured recipient after an authorized membership transfer. A later scheduled send combines that customer's address with freshly loaded membership fields, exposing current information when the configured template renders those fields.

Trust Boundaries and Controls

  • observed — Webhook delivery reads its destination from a persisted record. The webhook editor requires the webhook-edit capability in network administration, and membership transfer is registered with the membership-transfer capability. Customer email targeting validates the address and resolves recipients from customer data. These controls bound configuration authority but do not enforce webhook deactivation or recipient ownership at delayed consumption.

Resilience and Maintainability Implications

  • observed — Oversized scheduled arguments are rejected with a mailer error, enqueue failures are logged, and delayed expiration emails are suppressed when the referenced term changes. These measures improve bounded failure handling, although they do not provide ownership binding or an end-to-end delivery acknowledgement.

🚀 Performance & Scalability | 🟠 Major | 🏗️ Heavy lift

Paginate the expiring-membership queries.

BerlinDB defaults number to 100 when wu_get_memberships($query_params) omits it. The notified-term check runs after the query, so notified memberships remain in the result set. A network with more than 100 matching memberships can therefore keep returning the same first page and leave later memberships unqueued during their expiration window.

Do not treat an empty include selection as unrestricted.

When product_filter is include and no products are selected, Email::applies_to_payload() returns true. The email manager uses this result before immediate and delayed sends, so the email can be sent for every membership. This conflicts with the editor’s “Only for the selected products” contract.

Cover non-renewing membership selection.

The proposed assertion is valid. wu_async_membership_expiring is scheduled with ['membership_id' => $membership->get_id()] in group wu_cron_check, so as_has_scheduled_action() with those same arguments will find it. Add a focused test for active and on-hold memberships with auto_renew disabled.
